Media Guidelines & Terms

Global Women Festival & Pageant

1. Registration & credentials

All media registrations are subject to review and approval by the Global Women Festival (GWF) organizing team. Submission does not guarantee approval or admission. Credentials are non-transferable and must be displayed when requested. The organizing team reserves the right to determine access, coverage areas, and media positioning.

2. Additional team members

Each approved applicant may request registration for one additional team member. The individual's full details must be submitted with the original application and are subject to approval. Unregistered assistants, crew members, or last-minute additions will not be permitted.

3. Event coverage

Media registration applies to the complete event. There are no separate registrations for specific segments, including the crowning ceremony. Media representatives may leave early at their discretion; however, re-entry is subject to event policies and staff approval.

4. Photography & videography positioning

Space in front of the stage is limited and available on a first-come, first-served basis to approved media, subject to staff direction. Media representatives are expected to respect those who arrive earlier, avoid obstructing other photographers or audience members, and cooperate with one another. The production team may request that media relocate to alternative positions at any time. No particular shooting position is guaranteed.

Shooting positions may not be reserved with unattended equipment. Media may not move another photographer's equipment or obstruct the official event video cameras.

5. Restricted areas & production safety

Access to backstage, dressing rooms, production areas, VIP sections, and other restricted spaces is prohibited unless expressly authorized. Media must follow instructions from event staff and avoid blocking aisles, emergency exits, cameras, or production equipment. Flash, tripods, lighting equipment, and other gear may be restricted where necessary for safety or production quality.

6. Content sharing & usage rights

I agree to provide selected, usable photos and/or videos captured at GWF to the organizing team within seven (7) calendar days of the event, in a mutually agreed digital format.

I grant GWF, AmPowering, and their authorized promotional partners a non-exclusive, royalty-free, worldwide license to use, reproduce, display, edit, and share the submitted content for event publicity, editorial coverage, social media, marketing, and nonprofit promotional purposes. Photographer/videographer credits and watermarks will be retained where provided and reasonably practicable.

I retain ownership of my original content and may use it for my own portfolio, website, publications, and social media, subject to these terms and applicable rights and permissions.

Accreditation does not authorize selling event imagery to third parties, using contestant images in unrelated advertisements, or representing oneself as the event's official photographer. Media may still use their work in portfolios and permitted editorial coverage.

7. Media credits & tagging

Media representatives are expected to credit Global Women Festival and AmPowering in applicable event-related publications and social media posts, including tagging the organizations' official accounts where supported.

8. Respectful coverage & privacy

All media must maintain professional conduct and respect the dignity, privacy, and safety of contestants, guests, performers, and attendees. Photography or recording in changing areas or other designated private spaces is prohibited. Media must comply with applicable laws and organizer requirements concerning minors, consent, and sensitive content.

9. Special accommodations

Any accessibility or other special accommodation needs should be communicated to the organizing team in advance. We will make reasonable efforts to assist, subject to venue capabilities, safety, and applicable requirements. Specific arrangements cannot be guaranteed.

10. Food, beverages & expenses

Food and beverages will be available for purchase at the venue. Complimentary meals, transportation, parking, lodging, and other expenses are not included unless expressly confirmed by the organizing team.

11. Equipment & personal property

Media representatives are responsible for their own equipment and belongings. To the extent permitted by law, GWF and its organizers are not responsible for loss, theft, or damage to personal property.

12. Compliance & credential withdrawal

The organizing team reserves the right to relocate media, restrict coverage activities, or revoke credentials for violations of these guidelines, unsafe conduct, or failure to follow reasonable staff instructions.
